How Caravan Worx streamlined its workshop

Quoting stopped being a rebuild every time, the diary stopped waiting for the phone to ring, and the jobsheet moved off the office desk and onto the workshop floor.

Caravan Worx is a family-run caravan, RV and auto repair workshop in South East Queensland โ€” and it is the workshop RV Auto Mate was built in. The same team that quotes, services and repairs caravans every day wrote the software they wanted to run the business on, then put it to work on their own jobs first.

This is the story of the three things that changed: quoting stopped being a rebuild every time, the workshop stopped relying on the phone ringing to fill next month, and the jobsheet came off the office desk and went into the pocket of whoever was working on the van.

The bottleneck

Quoting was a rebuild every time

A caravan workshop does not quote one-off work. A driver-side resheet, a rooftop air-conditioner replacement, a 10,000 km / 12 month service, a window re-seal โ€” Caravan Worx has quoted every one of those jobs dozens of times, and there is nothing unique about the tenth one.

But each quote was still built by hand, line by line โ€” or dug up from the past: someone would hunt through old quotes for a similar van, duplicate one, then change every line to suit today's job. Either way it took minutes of office time per quote, not seconds. Labour hours came out of whoever was quoting that day's memory. Parts prices came off the last supplier invoice, if it could be found. Two people could quote the same job two different ways, and neither price told you whether the job was actually worth doing.

That is the bottleneck every busy workshop knows: the work that repeats is the work you spend the most time re-thinking.

Build it once

The job is built once โ€” then quoted from the library

The fix was to stop building jobs from scratch. Caravan Worx's repeat work now lives in the Smart Quoting item library and comes back out in one click:

  • Item library: every repeat job is a library item โ€” labour with its hours and price, and real parts carrying their supplier, supplier SKU, sell price and the cost the last order came in at. Caravan Worx keeps a Caravan catalogue and a Mechanical catalogue, so nothing from one job type leaks into the other.
  • Bundles: whole jobs are saved as bundles โ€” the work items plus every part, certificate and sundry the job needs โ€” and land on a quote as one named zone in a single click. The review wizard is where each one gets trimmed for that specific van.
  • Zones: awning side, roof, gas system. Expand a zone to work on it; collapse it and the customer sees one clean lump-sum price for the whole job, with every member still underneath it for the workshop.
  • Margin, while you quote: the retail rate, insurance rate and labour cost rate are set once, so the Cost & Profit panel shows what the job is really worth before it is sent โ€” not after it has been invoiced.

The tenth resheet of the year now takes a fraction of the time the first one did โ€” and it is priced exactly the same as the first one.

An accepted quote becomes the job โ€” nothing is retyped

One click sends the quote as a branded PDF with a secure link the customer can accept online โ€” no more "can you email me the quote?" phone tag, and no printing, signing and scanning.

When the customer accepts, the quote converts straight into a jobsheet: labour lines become tasks with their allocated hours, and parts land in the "Parts to be ordered" list ready for the supplier order. The same numbers that priced the job now plan the job โ€” and later, invoice it.

Quoting, doing the work and billing it stopped being three separate data-entry jobs. They are one job, in one place, from start to paid.

System reminders keep a continuous flow of work coming in

Faster quoting only helps if there is work to quote. Caravan Worx's biggest source of repeat work is the work it has already done: the caravan that will be due for its next service, the inspection certificate that will expire, the customer who means to book in and never quite gets around to it.

Automated Reminders turned that customer list into a pipeline that runs without anyone remembering to chase it:

  • Set the cycle once: recurring service reminders โ€” 10,000 km and 12 month services, certificates of inspection, or anything custom โ€” are created once and keep coming back on their own schedule.
  • The message does the work: each reminder goes out by email, SMS or both, branded as Caravan Worx, addressed to the customer by name and referencing their actual caravan.
  • Booking takes seconds: the customer gets three suggested times and picks one by replying to the text or tapping a secure link โ€” no phone tag, no chasing, no awkward sales call.
  • The flow never needs babysitting: recurring reminders run as a series and each cycle creates the next one automatically, so the pipeline keeps rolling whether or not anyone marks a job as done.
  • Nothing slips: reminders that fall due raise an alert in the workshop, so a quiet week is visible โ€” and fixable โ€” before it arrives.

Jobsheets and tasks in staff pockets

The last piece was getting the job off the office desk. RV Auto Mate is a Progressive Web App โ€” staff install it to the home screen of a phone or tablet and it behaves like an app, on the device they already carry.

Nobody queues at the office computer to find out what they are doing today:

  • Their jobs, their tasks: each staff member opens the jobsheet and sees the tasks assigned to them, with what needs doing and how long has been allowed for it.
  • Ticked off as they go: tasks are marked complete on the spot, at the van, as the work is finished โ€” no paper job cards, and no pile of notes to key in at the end of the day.
  • Time where the work happened: time can be logged against a task as it is done, so estimated hours versus actual hours are visible on every job.
  • The office stays the office: workshop staff see the work โ€” tasks, status and notes โ€” while task pricing stays with the office, so commercial detail does not walk around the workshop on a phone screen.

The jobsheet is now live: updated by the person doing the work, at the moment it is done โ€” not at 5pm, and not a day later.

One of the most frustrating moments is spending hours on a quote, sending it out, then hours later it hits you โ€” I forgot the crate and freight, or I left a component at cost and never updated it. Or you spend that time quoting to insurance knowing the job is going to be a write-off anyway. We rarely leave anything out of a quote now: set up properly, the bundles have literally saved us thousands on a job โ€” let alone the missed items over a year.

And the time saved โ€” as a small repair business I was on the workshop floor less than I was in the office, and that is a killer for a small team.

We ran two sheds and multiple staff when we started out, and printed jobsheets made that hard to track: parts written down but never ordered, new tasks that never flowed down to the workshop. How long did the team take to learn it?

There is no separate system to learn โ€” RV Auto Mate follows the job. A mechanic sees the jobsheet, the tasks assigned to them and what is left to do, and marks a task complete when it is finished. Pricing and quoting stay with the office, so workshop staff are never confronted with commercial detail they do not need.

Does the reminders system need someone to mark jobs as done?
