Privacy Policy

RV Auto Mate ("we", "us") is a workshop management platform that helps caravan and vehicle repair businesses manage their operations. This Privacy Policy explains how we collect, use, store, and protect personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

Business Information

When a workshop registers, we collect their business name, ABN, contact details (phone, email, address), logo, and subscription preferences.

Customer Information

Workshops enter information about their own customers into RV Auto Mate. This may include customer names, phone numbers, email addresses, postal addresses, and vehicle/asset details (VIN, registration, make, model, service history).

Account Information

We collect user names, email addresses, and role assignments for workshop staff who access the platform.

• To provide the workshop management services the business subscribes to
• To send service reminders on behalf of the workshop (email/SMS) when the workshop initiates them
• To process customer responses to reminders (date confirmations, opt-outs)
• To process payments and manage subscriptions
• To provide customer support and improve our services

We take opt-out requests seriously. Customers who receive reminder communications can opt out at three levels:

• Single reminder: opt out of one specific reminder
• All reminders for a vehicle: opt out of future reminders for that specific asset
• All communications: opt out of ALL email and SMS communications from the business permanently

When a customer opts out, our system enforces it server-side. Even if a workshop attempts to send to that customer again, the sending is blocked.

All data is stored on secure servers provided by Supabase (PostgreSQL) with encryption in transit and at rest. Access to customer data is restricted to authenticated users of the workshop's account. We do not sell personal information to third parties.

• Clerk — authentication (sign-in, user management)
• Stripe — payment processing and billing
• Supabase — database and file storage
• Email providers — sending reminder emails on behalf of workshops
• Google — optional Google Calendar sync (see Section 7 below)

RV Auto Mate optionally offers a Google Calendar integration so workshops can keep their schedule in sync between RV Auto Mate and their own Google Calendar.

What we access

When you connect your Google account, and only with your permission, we access your Google Calendar (view, create and manage calendar events) to read and write workshop schedule events.

How we use it

We use this access exclusively to sync events between RV Auto Mate and your Google Calendar so appointments and bookings stay consistent across both. We do not read your other Google data (such as email, Drive or contacts), and we never sell or share it.

How to revoke access

You can revoke access at any time in your Google account's security settings (https://myaccount.google.com/permissions) or by disconnecting the Google Calendar connection inside RV Auto Mate.

We use cookies and similar technologies for authentication (via Clerk) and to remember your session. You can control cookies through your browser settings.

We also use Umami, a privacy-first analytics tool, to understand how visitors use our public website — the pages they view, how long they spend, which links they click, and how they arrived. Umami does not use cookies and collects no personal information.

• Access: request a copy of the data we hold about you
• Correction: request corrections to inaccurate information
• Deletion: request deletion of your data (subject to legal retention obligations)
• Opt-out: stop receiving communications at any time

We retain workshop data while their subscription is active. When a subscription is cancelled or a workshop is deleted, we delete or anonymise their data within 30 days, except where retention is required by law.
